ToolsAI Vendor Diligence

Check an AI vendor’s pitch before you sign.

Paste the pitch and say what you need the tool for. About a minute later you have a memo with the red flags, the questions to put to the vendor in writing, and a Go, Maybe or Stop.

Recommendation

Maybe. Could be the right answer; the pitch did not surface enough to be sure.

A red flag

Quoted price ($24,000 a year, twelve-month minimum) is roughly five times the raw API cost for fifty messages a day. You are paying for the UI and the audit trail.

Two of the seven questions

  1. 2.Where is our data physically stored, in which jurisdiction, and is it ever processed outside Australia?
  2. 6.Will you offer a paid one-month pilot with our real messages, at a price that is roughly one twelfth of the annual quote, before we commit?
From the sample memo, which reviews a fictional vendor. Read the full sample

What the memo covers

  • What it does

The tool described in plain English, with the marketing taken out.

  • Where it would help you

Whether it helps with the problem you described, and where it falls short.

  • Red flags

Specific to this pitch: claims that do not hold, questions the vendor avoided, pricing that looks off.

  • Questions to ask

Five to seven questions to put to the vendor in writing before you sign.

  • Alternatives

Two or three other ways to solve the same problem, with the trade-offs of each.

  • Recommendation

Go, Maybe or Stop, with the reasons behind it.

When the vendor is one part of a bigger program

I work as a fractional portfolio, PMO and delivery lead, and I build AI automation for manual business tasks myself. Vendor statements of work and delivery accountability are part of that job. I work from a few hours a week up to two days a week, at $1,850 + GST a day, billed pro rata.
